Green Key Resources seeks an experienced Executive Assistant to provide dedicated support to a senior executive in a fast-paced professional environment. You will manage a complex calendar, coordinate domestic and international travel, prepare meeting materials, and handle confidential information with discretion.

This onsite role requires exceptional organizational skills, strong written and verbal communication, and the ability to adapt quickly to changing priorities.

Qualifications

  • 4+ years of executive support experience.
  • Excellent organizational skills and attention to detail.
  • Strong calendar and travel coordination experience.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office suite (Outlook, Excel, PowerPoint, Word).

Responsibilities

  • Provide dedicated executive support to a senior executive.
  • Manage complex calendar, scheduling, prioritization, and conflict resolution.
  • Coordinate internal and external meetings and travel arrangements.
  • Prepare meeting materials and agendas.
  • Submit and track expense reports.
  • Produce professional documents and presentations using Microsoft Office.
  • Provide regular status updates on schedules and priorities.
  • Maintain confidentiality and handle sensitive information.
  • Onsite five days per week.

Job description

We are seeking an experienced Executive Assistant to provide dedicated support to a senior executive in a fast-paced professional environment.

Key Responsibilities
  • Provide dedicated executive support to a senior executive.
  • Manage a complex and constantly changing calendar, including scheduling, prioritization, and conflict resolution.
  • Anticipate upcoming priorities and identify potential scheduling or logistical conflicts well in advance.
  • Proactively flag issues and work with the executive to determine appropriate priorities.
  • Coordinate internal and external meetings, including scheduling, reminders, logistics, and follow-up.
  • Prepare meeting agendas and coordinate meeting materials and logistics.
  • Manage extensive domestic and international travel arrangements, including itineraries, accommodations, transportation, and last-minute changes.
  • Maintain detailed awareness of travel schedules and logistics.
  • Serve as a primary point of contact through email, phone, and text.
  • Prepare and submit expense reports and track business-related expenses.
  • Create and maintain professional documents, spreadsheets, presentations, and other materials using Microsoft Office.
  • Provide daily and weekly status updates regarding schedules, priorities, outstanding items, and upcoming commitments.
  • Monitor follow-ups and ensure important tasks and commitments are completed.
  • Handle confidential information with discretion and professionalism.
  • Respond to time-sensitive requests outside of normal business hours, including occasional weekend responsiveness when needed.
  • Support special projects and additional administrative needs as they arise.
Qualifications
  • 4+ years of experience providing executive or high-level administrative support.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong calendar management and travel coordination experience.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Microsoft Outlook, Excel, PowerPoint, and Word.
  • Ability to move quickly while maintaining a high level of accuracy.
  • Strong judgment and ability to prioritize competing demands.
  • Highly proactive approach with the ability to anticipate needs.
  • Excellent follow-through and accountability.
  • Ability to receive direct feedback and quickly adapt to changing preferences and expectations.
  • Strong professionalism and composure in a fast-paced environment.
  • High level of discretion and confidentiality.
  • Comfortable working fully onsite five days per week.
