A well-established, growth-focused investment firm is seeking an experienced Executive Assistant to provide high-level, dedicated support to a senior Partner in its Austin, TX office. What You'll Do
- Own and manage the Partner's complex calendar, proactively resolving scheduling conflicts and prioritizing competing demands with minimal guidance.
- Coordinate detailed and often complex travel logistics, including private aviation, with multiple moving pieces and last-minute changes.
- Process expenses and manage T&E, correspondence, and other administrative functions with a high level of accuracy and confidentiality.
- Serve as a key point of contact and gatekeeper for the Partner, exercising discretion in managing access, communications, and priorities, including direct interaction with the Partner's boss, board members, and other high-profile stakeholders.
- Prepare materials, agendas, and briefing documents for meetings, calls, and investor or board interactions.
- Liaise with internal team members, portfolio company contacts, investors, and outside vendors on the Partner's behalf.
- Anticipate needs before they arise and proactively problem-solve novel, multi-party logistics challenges with no clear playbook, handling sensitive and confidential information with the utmost discretion.
- Support special projects and ad hoc requests as they come up.
What We're Looking For
- 7–10+ years of experience as an Executive Assistant supporting a senior executive, ideally a Partner, C-suite leader, or similar, in a professional services or investment environment.
- A strategic thinker and strong problem solver who can operate several steps ahead, connect dots across the Partner's priorities, and bring solutions rather than just flagging issues.
- Proven experience coordinating complex travel logistics, including booking and managing private aviation, from start to finish.
- Demonstrated experience engaging directly with high-profile stakeholders, such as a principal's boss, CEOs, or board members, under pressure and with high stakes.
- A track record of solving complex, multi-party logistics or operational problems independently, without an established playbook.
- Exceptional organizational, written, and verbal communication skills, with the ability to manage multiple priorities in a fast-paced setting.
- Sound judgment and a high degree of discretion when handling confidential and sensitive information.
- Proficiency with Microsoft Office and AI tools; a proactive, polished, "no task too big or small" attitude; a Bachelor's degree preferred.
- Must be based in Austin, TX. This is an in-office role, 5 days a week, with some flexibility outside standard business hours for time-sensitive requests.
- Compensation is dependent on experience.
