The position is Monday–Friday, 8:30–5:30, direct hire, and requires proactive problem-solving, discretion, and exceptional service.

Qualifications

  • Strong calendar, travel, and meeting preparation experience.
  • Discretion and confidentiality are essential.

Responsibilities

  • Manage multiple complex and frequently changing executive calendars.
  • Coordinate domestic and international travel arrangements and detailed itineraries.
  • Anticipate executive needs and proactively address scheduling and operational challenges.
  • Prepare executives for meetings by organizing materials and relevant information.
  • Coordinate internal and external meetings, conference rooms, catering, and logistics; liaise between executives, teams, clients, and stakeholders.
  • Maintain awareness of executive priorities, deadlines, and commitments.
  • Process and submit expense reports accurately and timely.
  • Collaborate with other Executive Assistants to ensure consistency and coverage across the team.
  • Provide support on special projects and additional administrative initiatives as needed.

Our client, aprofessional services firm located in Austin, TX, is seeking an Executive Assistant to provide high-level administrative support to multiple senior executives. This individual will serve as a strategic partner to leadership by managing complex calendars, coordinating travel, facilitating meeting preparation, and handling confidential business matters. The ideal candidate will proactively anticipate executive needs while ensuring seamless day-to-day operations across multiple stakeholders. This is a polished, high-performance work environment that values professionalism, discretion, collaboration, and exceptional service. This position is fully onsite Monday through Friday during the hours of 8:30-5:30 and is a direct hire opportunity.

Job Responsibilities:

Qualifications:

  • 5-7+ years of Executive Assistant experience supporting senior executives
  • Prior experience within private equity, investment banking, financial sectors, consulting, legal, or professional services environments strongly preferred
  • Proven experience managing multiple high-demand executives simultaneously
  • Exceptional organizational skills and attention to detail
  • Strong verbal and written communication skills
  • Demonstrated ability to exercise discretion and maintain confidentiality
  • Advanced Microsoft Office Suite proficiency
  • Experience with tools such as Concur, DocuSign, Adobe, Salesforce, or similar business applications preferred
  • Highly proactive, solutions-oriented, and adaptable in fast-paced environments
  • Professional, polished demeanor with a strong service-focused mindset
