Responsibilities

  • Serve as trusted partner and primary contact for the CEO, handling confidential information with discretion.
  • Own and optimize the CEO's calendar, prioritizing meetings and protecting focus time.
  • Coordinate domestic and international travel with complex itineraries and visa arrangements.
  • Prepare the CEO for meetings with agendas, briefing materials, and follow-up items.
  • Act as gatekeeper and liaison between the CEO and internal teams, investors, board members, customers and partners.
  • Manage the CEO's meeting cadence and track follow-ups to completion.
  • Assist with special projects and cross-functional initiatives with tight deadlines.
  • Develop systems and processes to improve the CEO's effectiveness and visibility across priorities.
  • Monitor incoming information to provide the right context at the right time.
  • Anticipate needs and operate with ownership without step-by-step direction.
  • Represent the CEO's priorities and standards across the organization.

POSITION: Executive Assistant to the CEO


LOCATION: Austin, TX (Hybrid in office)


HOURS: 9:00AM-6:00PM with flexibility as needed


COMPENSATION: $150K range on base plus bonus and benefits

Our client is the CEO of a fast-growing technology startup. They are seeking a highly sophisticated, proactive, and resourceful EA to serve as a trusted partner - this is a high-impact role for someone who thrives in a dynamic, entrepreneurial environment and can operate with exceptional discretion, judgment, and attention to detail. The ideal candidate is a strategic operator who can anticipate the CEO’s needs, bring structure to a rapidly evolving organization, and ensure the CEO remains focused on the company’s highest-priority initiatives.


Responsibilities of the Executive Assistant:


  • Serve as a trusted partner and primary point of contact for the CEO, managing a high level of confidential and sensitive information with absolute discretion.

  • Own and optimize the CEO’s complex calendar, proactively prioritizing meetings, protecting focus time, and identifying scheduling conflicts before they arise.

  • Coordinate extensive domestic and international travel, including complex itineraries, accommodations, ground transportation, visas, and last-minute changes.

  • Prepare the CEO for meetings by organizing agendas, briefing materials, background information, and follow-up items.

  • Act as a gatekeeper and thoughtful liaison between the CEO and internal teams, investors, board members, customers, partners, and other key stakeholders.

  • Manage the CEO’s meeting cadence and ensure critical follow-ups, decisions, and action items are tracked through completion.

  • Assist with special projects and strategic initiatives on behalf of the CEO, often involving cross-functional stakeholders and tight deadlines.

  • Develop systems and processes that improve the CEO’s effectiveness and create greater visibility across priorities.

  • Monitor and organize incoming information, ensuring the CEO has the right context and information at the right time.

  • Anticipate needs, solve problems independently, and operate with a high degree of ownership without requiring step-by-step direction.

  • Serve as an extension of the CEO, representing their priorities, communication style, and standards throughout the organization.


Requirements of the Executive Assistant:


  • Bachelor's degree preferred, but not required.

  • 7+ years of experience supporting C-suite executives, founders, CEOs, or senior leaders in a high-growth, technology, venture-backed, or similarly fast-paced environment.

  • Proven experience supporting a highly demanding executive with a complex calendar and constantly shifting priorities.

  • Exceptional organizational skills and an ability to manage multiple priorities without losing sight of the details.

  • Strong executive presence and excellent written and verbal communication skills.

  • Demonstrated ability to operate with discretion and handle highly confidential business and personal information.

  • A proactive, anticipatory mindset — you naturally think several steps ahead.

  • Strong business judgment and the confidence to make decisions independently.

  • Ability to work effectively with investors, board members, executives, clients, and other high-level stakeholders.

  • Comfortable operating in ambiguity and building structure where processes may not yet exist.

  • Highly tech-savvy and comfortable learning new tools, systems, and AI-enabled technologies.

  • Exceptional follow-through, responsiveness, and attention to detail.

  • A calm, solutions-oriented approach in high-pressure situations.
