  • Exercises judgment, discretion, professionalism, and trustworthiness.
  • Ability to represent the office professionally in all written and verbal communications.
  • A strong eye for detail with dependable follow-through.
  • Maintains an even composure and is effective under pressure.
  • Experience working with high-level clients, media contacts, and studio leadership is helpful but not required.

Responsibilities

  • Manage the partner’s calendar by scheduling and coordinating appointments, anticipating needs, and rearranging meetings as appropriate.
  • Book extensive domestic and international travel (air, hotel, car, rail), build itineraries, address changes, and handle travel documentation with support of a travel agency
  • Schedule internal and external meetings over multiple time zones and countries
  • Oversee expense reporting
  • Coordinate panel discussions, lectures, and media interviews
  • Potential calendar coordination for personal appointments
  • Assist with ad hoc reports, presentations, and special projects as needed

Our client, a global architecture and planning company, is seeking a Temporary to Permanent Executive Assistant to support one of their partners. The office is located in Dumbo, Brooklyn and requires to be in office 5 days a week from 9am-6pm, with 1 hour for lunch. This is a great opportunity for someone to support a passionate and very busy individual.

Responsibilities

The Executive Assistant will track multiple tasks and, therefore, need impeccable follow-through, a positive attitude, and an indomitable spirit. Key responsibilities include:

  • Manage the partner’s calendar by scheduling and coordinating appointments, anticipating needs, and rearranging meetings as appropriate
