Qualifications

  • Previous experience as an Executive Assistant, Personal Assistant, or similar executive support role is required.
  • Experience in the social services, nonprofit, healthcare, or medical field is strongly preferred.
  • Outstanding organizational, time management, and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Ability to work independently while managing multiple priorities and deadlines.
  • Professional demeanor with exceptional discretion and the ability to handle confidential information.
  • Strong problem-solving skills with a proactive, solutions-oriented mindset.
  • Must be willing and able to travel between Brooklyn and Manhattan as needed.

Responsibilities

  • Serve as the primary point of contact for internal and external communications on behalf of the CEO.
  • Screen and manage phone calls, emails, correspondence, and other communications.
  • Coordinate communication and follow-up with government agencies, donors, funders, community organizations, and strategic partners.
  • Manage and maintain the CEO's complex calendar, including meetings, events, travel, and scheduling priorities.
  • Coordinate logistics for executive leadership meetings, Board of Directors meetings, donor events, and community engagements.
  • Arrange executive travel, prepare itineraries, and manage expense reports and reimbursements.
  • Anticipate scheduling conflicts and proactively adjust priorities as needed.
  • Prepare agendas, reports, presentations, research materials, and executive briefing documents.
  • Attend meetings, record notes, and prepare meeting summaries with action items.
  • Develop project plans, dashboards, and status reports to support executive decision-making.
  • Organize and maintain confidential files, records, and executive documentation.
  • Support nonprofit governance activities and assist with reporting and compliance requirements.
  • Perform additional administrative and operational duties as assigned.

Position Overview

We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level administrative, operational, and project management support to the Chief Executive Officer (CEO). This individual will serve as a trusted partner, helping manage executive priorities, coordinate communications, oversee scheduling, and support strategic initiatives across the organization.
