Job summary

The Equus Group in Austin is seeking an experienced Executive Assistant to support multiple senior leaders. The role starts in the Austin office for 90 days and transitions to a hybrid work arrangement thereafter.

Ideal candidates will have 5+ years of experience supporting executives, exceptional organizational skills, and the ability to manage complex calendars across time zones. This is a fast-paced, high-performance environment requiring discretion and proactive problem-solving.

Qualifications

  • 5+ years of experience supporting executives, senior leaders, or multiple high-level stakeholders.
  • Experience managing multiple executives simultaneously is strongly preferred.
  • Excellent written and verbal communication skills.
  • Strong judgment and the ability to operate with a high degree of discretion.
  • Proactive, solutions-oriented mindset and ability to anticipate needs.
  • Comfortable in a fast-paced, high-performance environment.
  • Strong technology skills and ability to learn new systems quickly.

Responsibilities

  • Provide high-level administrative and executive support to multiple senior leaders.
  • Own complex calendars across multiple time zones and shifting priorities.
  • Coordinate domestic and international travel with detailed itineraries and last-minute changes.
  • Prepare leaders for meetings with agendas, materials, logistics, and follow-ups.
  • Coordinate internal and external meetings with professionalism and attention to detail.
  • Manage expense reporting and other administrative processes.
  • Assist with leadership meetings, team events, and special projects.
  • Partner with other Executive Assistants and administrative professionals across the organization.

About the Opportunity

We are partnering with a leading global trading and technology firm to identify an exceptional Executive Assistant to join its growing Austin office. This is a high-impact opportunity for an experienced EA who thrives in a fast-paced, intellectually rigorous environment and enjoys being the person who keeps senior leaders organized, prepared, and operating at their best.

The Executive Assistant will provide support to multiple senior leaders, serving as a trusted partner across a range of administrative, scheduling, and operational priorities. This person will need to be highly organized, proactive, discreet, and comfortable managing competing priorities in an environment where things move quickly, and priorities can change. This position will be based in the Austin office during the first 90 days. Following the initial 90-day period, the role will transition to a hybrid work arrangement.

What You\'ll Do

  • Provide high-level administrative and executive support to multiple senior leaders
  • Own complex calendars, coordinating meetings across multiple time zones and frequently shifting priorities
  • Anticipate scheduling conflicts and proactively identify solutions before they become issues
  • Coordinate domestic and international travel, including detailed itineraries and last-minute changes
  • Prepare leaders for meetings by ensuring agendas, materials, logistics, and follow-ups are handled seamlessly
  • Coordinate internal and external meetings with a high degree of professionalism and attention to detail
  • Manage expense reporting and other administrative processes
  • Assist with leadership meetings, team events, offsites, and other special projects
  • Partner closely with other Executive Assistants and administrative professionals across the organization
  • Serve as a trusted point of contact for internal and external stakeholders
  • Handle confidential and sensitive information with exceptional discretion
  • Take ownership of ad hoc projects and administrative needs as they arise
  • Identify opportunities to improve processes and make the leaders you support more efficient
