Job summary

Qualifications

Scion Staffing has been engaged to conduct a search for an Executive Assistant for a respected, mission-driven organization in Austin, Texas. This is a full-time, hybrid opportunity for an experienced administrative professional who excels at supporting senior leadership, managing complex priorities, and serving as a trusted partner in a dynamic environment.

POSITION OVERVIEW

The Executive Assistant will provide high-level administrative and organizational support to executive leadership while helping ensure priorities, meetings, communications, and day-to-day operations run smoothly. This individual will manage a complex executive calendar, coordinate meetings and travel, support board-related activities, and handle sensitive information with the highest level of professionalism and discretion.

RESPONSIBILITIES
  • Manage complex executive calendars, scheduling, meetings, and competing priorities while anticipating potential conflicts and ensuring effective use of leadership's time.
  • Coordinate executive travel, association meetings, organizational events, and other logistics from planning through execution.
  • Support board governance activities by coordinating meetings, communications, materials, scheduling, and administrative follow-up.
  • Prepare correspondence, presentations, documents, and other executive-level materials while maintaining accuracy and professionalism.
  • Handle confidential and sensitive information with exceptional discretion, judgment, and attention to detail.
  • Serve as a trusted partner to executive leadership by anticipating needs, managing priorities independently, and helping ensure important initiatives move forward.
QUALIFICATIONS
  • Previous experience providing executive-level administrative support, ideally within a nonprofit, association, community-based, or similarly mission-driven organization.
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities and changing deadlines.
  • Strong written and verbal communication skills with a professional and polished approach to interacting with executives, board members, colleagues, and external partners.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, as well as virtual meeting platforms such as Zoom and Microsoft Teams.
  • Demonstrated ability to exercise discretion, sound judgment, initiative, and independence when handling confidential information and executive-level responsibilities.
  • Ability to meet applicable organizational training, driving, and compliance requirements.
COMPENSATION AND BENEFITS

This position offers competitive compensation of $30–$35 per hour, depending on experience, along with a hybrid work schedule.
