Job summary

Confidential, a Boston-based global financial organization, seeks an experienced Executive Assistant to support a senior leader with discretion and poise in a fast-paced, high-visibility environment. You will own a complex calendar across time zones, plan domestic and international travel, coordinate meetings and materials, handle expense reports, and serve as a trusted point of contact.

  • Bachelor's degree required.
  • Several years of experience supporting senior executives in a fast-paced corporate environment; experience within financial services or another professional services setting is highly valued.
  • Exceptional organizational skills and meticulous attention to detail.
  • Ability to manage significant volumes of information and competing priorities without becoming overwhelmed.
  • Strong judgment and the ability to handle highly confidential information appropriately.
  • A proactive approach with the confidence to anticipate needs, identify potential issues, and take action independently.
  • Excellent written and verbal communication skills with the ability to interact comfortably with individuals at all levels of an organization.
  • Professional, polished, and personable demeanor with a genuine commitment to providing exceptional support.
  • Strong Microsoft Office skills, particularly Outlook, Excel, and PowerPoint.

Responsibilities

  • Own a complex and frequently changing calendar, balancing competing priorities and coordinating meetings across multiple time zones.
  • Arrange and manage detailed domestic and international travel, including itineraries, transportation, accommodations, and last-minute changes.
  • Coordinate internal and external meetings from scheduling through completion, ensuring all necessary logistics and materials are in place.
  • Partner closely with other administrative professionals to ensure seamless coverage and communication across the broader team.
  • Prepare and process expense reports while maintaining accurate records and documentation.
  • Serve as a professional point of contact for incoming calls, correspondence, and other communications.
  • Assist with meeting preparation, follow-up items, and other administrative projects that support senior leadership.
  • Handle sensitive information and communications with a high degree of discretion and confidentiality.
  • Provide occasional support with personal and business-related logistics, including reservations, mailings, and special requests.
  • Collaborate with colleagues across the organization and assist with firm-wide initiatives and projects as needed.
  • Take ownership of ad hoc priorities and step in wherever needed to help keep the broader team operating efficiently.
