Job summary

Qualifications

• High School Diploma/GED and 3 years’ experience in a related field or 5 years’ experience in a related field required.
• Prior clerical or administrative experience required.
• Proficiency in Microsoft Excel required.
• Must be able to operate adding machines and other office equipment (i.e., copier, fax machine, etc.).
• Ability to sit or stand for prolonged periods of time.
• Safe drivers needed; valid driver’s license required.

Responsibilities

• Provide comprehensive support to numerous account holders.
• Proactively identifying enhancement opportunities.
• Running and analyzing reports for trends and compliance.
• This critical role underscores accountability and excellence due to the significant financial implications of managing key, highly complex client accounts.
• Offer comprehensive, direct support and communication to numerous account holders, understanding their requirements and challenges while communicating potential issues.
• Coordinate account procedures to prepare and audit sale vehicle run process including run order, scheduling, notices to customer accounts, vehicle repairs, accurate charge posting, reporting, invoicing, etc.
• Monitor vehicle sales processes and ensure positive client experience.
• Develop relationships with clients and help them understand auction processes, vehicle availability and sale preparation/delivery.
• Examine vehicles, verify inventory meets specs, identify missing units, and coordinate with account reps for sale readiness with imaging/announcements.
• Coordinate vehicle transportation and resolve issues.
• Review condition reports for required announcements (Structural, Flood, True Miles Unknown, AS IS – NAAA guidelines for miles/age), branded title, buybacks, etc.
• Ensure file jackets for audits include proper documentation and invoicing.
• Serve as liaison between clients and auction departments.
• Collaborate with AR to post charges and issue invoices; pursue collections.
• Demonstrate prioritization within the lifecycle of auctioned cars.
• Show professionalism and appreciation for client relationships with Cox Automotive.
• Ability to work in a fast-paced environment, adaptable to change and multitask.
• Commitment to providing excellent customer service.
