Job summary

Fox Rothschild LLP is seeking a Collections/Client Relations Coordinator to manage accounts receivable collections and client communications. The role supports billing teams and partners to resolve issues and maintain accurate records, ensuring timely payments and strong customer service.

The candidate should have at least an Associate degree (Bachelor’s preferred) and 5+ years in collections within professional services, with advanced Excel skills and strong communication abilities.

Qualifications

• Associate’s Degree or equivalent required; Bachelor’s degree in Finance, Accounting, Business Administration, or related field preferred.
• Minimum five (5) years of collections experience in a law firm (preferred) or other professional services organization.
• 3E and ARCS 3G experience a plus.
• Strong mathematical skills with high accuracy; excellent organizational skills.
• Advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP, and data analysis tools.

Responsibilities

• Monitor AR portfolio to ensure timely collections.
• Contact customers via phone, email, and written correspondence regarding overdue accounts.
• Investigate and resolve discrepancies related to billing and payments.
• Maintain accurate customer records and collection notes.
• Collaborate with billing to ensure invoices are issued correctly and on time.
• Partner with Cash Application to ensure accurate posting of payments.
• Prepare and distribute aging reports and collection status updates to management.
• Escalate unresolved or high-risk accounts to Finance leadership with documentation.
• Respond to customer inquiries with professional service while maintaining firm collection practices.
• Engage with internal and external stakeholders to ensure adherence to payment terms.
