Job summary

It’s A Secret Med Spa is looking for a friendly Client Concierge to warmly greet clients in person and over the phone, while providing basic information about our wide range of services.

You will manage front desk duties, assist with scheduling, keep appointment books, ensure HIPAA compliance, and help maintain a clean, professional environment. This role supports providers and managers and requires teamwork and initiative.

Qualifications

• Previous customer service experience (1 year).
• Flexible schedule with the ability to work weekends.
• Previous experience working in a med spa or medical office preferred.
• Excellent written and verbal communication skills.
• Ability to communicate with proper etiquette.
• Ability to multi-task while attending to clients and business needs.
• Ability to work as part of a team and take initiative.
• Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service.
• Maintain patient confidentiality in accordance with HIPAA regulations.
• Maintain a high level of integrity with strong ethics.
• Sound judgment, problem solving, and decision-making skills.
• Must be able to sit or stand for long periods.
• Microsoft Office proficiency.
• Bilingual preference considered.

Responsibilities

• Warmly greet clients in person and over the phone and educate them about services.
• Manage front desk duties: check-in/out, answer calls, greet clients, stock supplies, and maintain a positive experience.
• Maintain a clean and professional environment throughout the facility.
• Assist providers and managers with client scheduling and appointment books.
• Comply with company policies and procedures to ensure streamlined processes.
• Ensure POS system is managed accurately with all client and employee information.
