Job summary

It’s A Secret Med Spa is seeking a confident, driven Client Concierge to join our team. This role greets clients, handles front desk duties, schedules appointments, and ensures an exceptional patient experience.

You will support providers and managers with scheduling and patient flow, maintain a clean, welcoming environment, and ensure all client information is handled accurately in the POS system. Strong communication, teamwork, reliability, and adherence to HIPAA are essential; weekend

Qualifications

• Previous customer service experience (1 year) required.
• Flexible schedule with the ability to work weekends.
• Previous experience working in a med spa or medical office preferred.
• Excellent written and verbal communication skills.
• Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business.
• Ability to work as part of a team and take initiative.
• Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service.
• Must maintain patient/client confidentiality in accordance with HIPAA regulations and company policy.
• Must maintain a high level of integrity with a strong ethical foundation.
• Must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs.
• Must have a working knowledge of Microsoft applications.
• Bilingual preference given.
• Other duties as assigned.
• Must work a minimum of 30 hours per week.

Responsibilities

• Warmly greeting clients in person and over the phone, providing basic knowledge about services.
• Manage front desk duties such as checking patients in/out, answering calls, greeting clients, overseeing inventory, and stocking supplies.
• Maintain a clean and professional environment throughout the facility.
• Assist providers and managers with client scheduling and maintaining appointment books.
• Comply with all company policies and procedures to ensure streamlined processes.
• Ensure POS system is managed effectively and accurately with all client appointment and employee information added.
