Job summary

AdaptHealth, LLC is seeking an Intake Specialist to support patient access by coordinating referrals, reviewing documentation, and ensuring services are set up accurately and efficiently.

You'll work closely with patients, providers, referral sources, and internal teams to navigate insurance requirements, confirm eligibility, and move the intake process forward smoothly. This role suits detail-oriented individuals who thrive in a fast-paced healthcare environment.

Qualifications

• 1 year of relatable work experience required.
• High School Diploma or equivalent required; higher ed preferred.
• Experience in management, administrative, clerical, insurance, billing, claims, call center, or customer service is a plus.
• Experience within a healthcare organization, pharmacy, HME, medical supply, or Medicare-certified environment is a plus but not required.
• Excellent verbal and written communication skills with analytical, problem-solving and decision-making abilities.

Responsibilities

• Review referrals and clinical documents to determine eligibility and compliance prior to service delivery.
• Communicate with patients about financial responsibilities and collect payments when applicable.
• Contact patients when documentation does not meet payer requirements and provide options.
• Work with referral sources, physicians, and clinical teams to obtain complete documentation.
• Demonstrate expert knowledge of payer requirements to ensure services are provided appropriately.
• Maintain accurate, timely documentation using electronic systems.
• Accurately enter referrals within established timeframes while meeting productivity and quality standards.
• Coordinate with leadership to ensure inventory and services are scheduled.
• Work closely with sales, insurance verification, and internal support teams to facilitate referrals.
• Navigate multiple EMR and online systems to obtain and manage documentation.
• Ensure appropriate shipping and delivery methods are selected per procedures.
• Answer incoming calls and provide professional assistance to patients and referral sources.
• Participate in on-call rotation during non-business hours as required.
• Support team operations and quality standards by following policies and procedures.
• Performs other related duties as assigned.
