Job summary

Orthodontic Experts is seeking a Patient Service Representative to warmly greet visitors, manage front desk operations, and provide essential administrative support. You will handle calls, registrations, payments, scheduling, and patient communications across multiple clinics in the Chicagoland area.

The role requires 3 years of customer service, 2 years in patient services, and bilingual Spanish. Proficiency in MS Office and strong communication skills are essential.

Qualifications

• High school diploma or GED required.
• 3 years of customer service experience required.
• 2 years of patient service experience preferred.
• Proficient in Microsoft Office (Word, Excel, Outlook, Access).
• Bilingual - Spanish required.

Responsibilities

• Answer all phone calls.
• Listen and return voicemails left on front desk phones.
• Check-in new and existing patients and inform clinical staff of arrival.
• Collect patient information for new patients (registration form, medical history, HIPAA).
• Check out patients (collect payments, schedule next appointment).
• Assist walk-in patients with questions and information.
• Maintain up-to-date comm-log with patient/parent communications.
• Review daily clinic schedule and adjust as needed.
• Verify bondings approvals and insurance status the day before and day of appointments.
• Explain cancellation policy to patients.
• Print end-of-day reports.
• Keep reception area clean and organized.
• Respond to office emails.
• Reconcile payments with reports and verify credit card transactions.
• Call patients with outstanding balances.
• Perform administrative tasks when traveling to other clinics.
• Participate in marketing events.
• Handle cash responsibly.
• Other duties as assigned.
