Job summary

Top Echelon Software, LLC is seeking an experienced Accounts Receivable Specialist to own day-to-day AR activities in a fully onsite role in Gardner, MA. You will manage invoicing, cash application, reconciliations, and collections, and interact with customers to follow up on balances while maintaining accurate records.

This hands-on position requires 2+ years AR experience, attention to detail, and proficiency with ERP and MS Office.

Qualifications

• 2+ years of Accounts Receivable experience.
• Hands-on collections experience with direct customer communication.
• Strong invoicing, cash application, reconciliation, and aging reports knowledge.
• Detail-oriented with strong organizational skills.
• Accounting degree preferred; experience acceptable as alternative.

Responsibilities

• Manage day-to-day Accounts Receivable activities, including invoicing, cash application, account reconciliation, and collections.
• Complete daily bank reconciliations and ensure transactions are accurately recorded and discrepancies are addressed.
• Proactively follow up with customers regarding outstanding balances and payment status through phone and email.
• Review AR aging and take action on past-due accounts, including credit holds and further collection efforts.
• Investigate account discrepancies and disputes and work toward timely resolution.
• Maintain credit hold information and prepare regular collections reports for management.
• Verify customer balances and respond to credit reference requests.
• Review credit references for new customers.
• Calculate and accrue monthly commissions.
• Process credit card purchases and assist with month-end accruals.
• Collect and maintain required tax-exempt certificates and W-9 documentation.
• Assist with balance sheet reconciliations.
• Provide backup Accounts Payable support as needed.
• Provide additional accounting and administrative support to the finance team.
