Job summary

OPTI STAFFING GROUP is hiring an Administrative Assistant for our Anchorage, AK office. This in-office role has no remote or hybrid options and pays $28-$35 per hour. You will be the first point of contact for clients, visitors, and team members while supporting office operations and client relations.

The position offers opportunities to grow into advanced administrative, operations, or client-relations paths, with exposure to daily office workflows and strong confidentiality requirements.

Qualifications

  • Proficient with general office equipment and multi-line phone systems.

Responsibilities

  • Greet clients and visitors professionally.
  • Answer and route calls via multi-line VoIP system.
  • Schedule and manage appointments for team members and leadership.
  • Sign in, date-stamp, and distribute incoming documents and mail.
  • Manage outgoing mail and courier shipments.
  • Maintain confidentiality of client and employee information.
  • Handle morning setup/night shutdown, copying, filing, scanning, and shredding/recycling programs.
  • Monitor and order office supplies.
  • Coordinate office equipment repairs.
  • Assemble tax returns and assist clients with pickup.
  • Prepare client engagement letters and information requests.
  • Process client payments (including credit card transactions).
  • Provide backup coverage for Senior Administrative Assistant(s) during absences or training.
  • Support hiring and training of administrative team members.
  • Recommend process and workflow improvements to boost efficiency.
  • Maintain office reference/continuity materials and serve as a go-to resource for common office software.
  • Enter billable/non-billable time.
  • Support setup for meetings and training events.
  • Type and proofread correspondence, reports, and financial documents accurately and on deadline.
  • Assist with kitchen tasks and planning company lunches/social events.

Work Environment & Physical Requirements
  • Primarily front-desk/office-based, standard 8-hour workday
  • Occasional overtime, including Saturdays during tax season
