Administrative Assistant — Bilingual English/Spanish
Job Description
Pay Range: $20.00 per hour

Position Overview
We are seeking a dependable, organized, and detail-oriented Office Administrative Assistant to support daily office operations and assist with basic human resources and employee-related processes. This position will provide administrative support across the organization, help maintain an organized and professional office environment, and serve as a helpful point of contact for employees and visitors.
The ideal candidate will be bilingual in English and Spanish, comfortable handling confidential information, and able to manage multiple administrative responsibilities with professionalism and accuracy.
Key Responsibilities
- Provide general administrative and clerical support to the internal team.
- Assist with employee onboarding processes, including collecting required documentation and preparing onboarding materials.
- Coordinate pre-employment background checks and follow up on outstanding requirements.
- Assist with employee timesheet collection, tracking, review, and submission.
- Support basic HR documentation and maintain accurate employee files.
- Assist with scheduling meetings, appointments, interviews, and company events.
- Help organize company meetings, celebrations, and internal events.
- Set up conference rooms before meetings and ensure the space is clean and properly prepared.
- Attend meetings as requested and take clear, organized meeting minutes.
- Receive, document, and distribute incoming packages and deliveries.
- File, scan, print, copy, and organize paperwork and electronic records.
- Ensure files and documents are maintained according to company standards.
- Order office supplies and monitor inventory to ensure materials remain stocked.
- Help maintain a clean, organized, and professional office environment.
- Greet and assist employees, candidates, visitors, and vendors as needed.
- Support additional administrative and HR-related projects as assigned.
Qualifications
- Bilingual fluency in English and Spanish is required.
- Previous experience in office administration, administrative support, human resources support, or a related position is preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and follow-through.
- Professional written and verbal communication skills.
- Ability to handle sensitive and confidential employee information appropriately.
- Comfortable using Microsoft Office, including Outlook, Word, and Excel.
- Ability to prioritize multiple responsibilities in a fast-paced office environment.
- Dependable, proactive, approachable, and willing to assist wherever needed.
