Job summary

Aston Carter is seeking a detail-oriented Accounts Payable Specialist to join our accounting team. You will manage vendor invoices, corporate credit card programs, and expense reports while ensuring compliance with company policies in our New York office on a hybrid schedule.

The role requires 2–5 years of AP experience, proficiency with Deltek Vantagepoint, Excel, and ERP systems; you will process invoices, schedule payments, reconcile statements, and respond to client billing questions.

Qualifications

• 2-5 years of accounts payable, expense, and billing experience.
• Experience in the architecture industry is preferred.
• Proficiency in Deltek Vantagepoint, invoicing, and expense budget management.
• Proficiency in Microsoft Excel, including VLOOKUPs and Pivot Tables.

Responsibilities

• Process vendor invoices weekly per payment terms.
• Manage vendor records and ensure banking information is current.
• Schedule and process payments (checks, ACH, wires).
• Monitor payment schedules to avoid late fees.
• Audit employee expense reports and reconcile accounts weekly.
• Create, send, and revise client invoices in line with contracts.
