Nutrition Asia has expanded its business footprint aggressively over the past 5 years with operations in Singapore, Hong Kong, and Malaysia. We work and supply sport, fitness, grocery, and specialty channels and continue to grow into new and expanded areas.

Job Summary:

We are looking for a responsible and well-organized Warehouse Administrator to manage daily administrative tasks in the warehouse. This role supports smooth warehouse operations through accurate record-keeping, documentation, and coordination with internal teams and external vendors.

Key Responsibilities:
Inventory Accuracy & Lot Tracking
  • Maintain accurate and up-to-date records of all inventories, including product quantities, batch/lot numbers, and expiry dates.
  • Perform regular checks to ensure all system entries reflect physical stock, with particular focus on products with expiry sensitivity.
  • Investigate and resolve inventory discrepancies in coordination with the warehouse team.
Documentation & System Updates
  • Process and file key warehouse documents such as delivery orders, goods received notes (GRNs), and stock adjustment forms.
  • Update the inventory management system with incoming and outgoing stock movements, including fulfilment, returns and write-offs.
Coordination & Fulfilment Support
  • Liaise with warehouse personnel to ensure timely picking, packing, and dispatch based on system accuracy.
  • Coordinate with transport and logistics providers to arrange collections and deliveries, ensuring documentation matches physical stock.
Stock Audits & Compliance
  • Assist in scheduled and ad‑hoc stock takes, cycle counts, and expiry checks.
  • Ensure all product handling and documentation processes meet audit and regulatory requirements, especially around product traceability.
Internal Communication
  • Work closely with internal teams (sales, procurement, accounts) to support order fulfilment, restocking, and forward planning.
  • Escalate any irregularities or potential stock risks (e.g., upcoming expiries) in a timely manner.
  • Any ad‑hoc duties required or requested by the Warehouse Manager or Warehouse Supervisor.
Process Improvement
  • Identify and suggest opportunities for process enhancements to improve inventory accuracy, reduce handling time, or minimize write‑off.
Operational Data Tracking
  • Maintain a log of warehouse errors and discrepancies (e.g. picking/packing mistakes, mislabeling, stock variances) to support root‑cause analysis and continuous improvement efforts.
  • Track recurring data issues or process gaps and report findings to the Warehouse Manager for corrective actions.
Requirements:
  • GCE ‘O’ Level or Diploma in Business Administration, Logistics, or a related field.
  • Prior experience in a warehouse or logistics administrative role preferred.
  • Proficient in Microsoft Office, especially Excel and Word.
  • Knowledge of Oracle, Netsuite is an advantage.
  • Knowledge of warehouse or inventory management systems is an advantage.
  • Good organizational and time management skills.
  • Detail-oriented with the ability to work under minimal supervision.
