In this role, you will collaborate with a dynamic and agile Training Operations team dedicated to providing premium services and learning solutions to over 100,000 students and training partners globally each year.
What your day would be like
Reporting to the Manager/Senior Manager of Training Delivery at IATA Training, you will support and handle the daily operations of Distance, Digital, and Instructor-Led training programs.
As Training Coordinator, you will:
- Support the Assistant Managers on the coordination, from beginning to end, of Instructor-Led classes (virtual and/or face-to-face) and Digital and Distance Learning in the relevant area (EMEA/Arica/Asia), whether in IATA Training Centers (ITCs), Regional Training Partners (RTPs) or In-Company. The coordination includes, amongst other tasks:
- Managing the customer relationship: answer any question and provide proactive guidance to ensure a high level of customer service (including visa invitation letters and certificate/diploma issuance) and return business.
- Organizing the designated instructor’s travel and accommodation (choosing and booking hotel and flights and managing visa applications)
- Getting the course material together with relevant publications, shipped or sent to the training location (including custom clearance).
- Liaising with the course venue to ensure proper set-up.
- Organize Meet & Greet sessions for participants (every month during pick season).
- Liaise with Finance to ensure that exam registrations and enrollment orders are confirmed.
- Ensure that all registrations are entered properly by pre-set deadlines so that the numbers are accurate before ordering copies to be printed.
- Assist the team in terms of target volume to be entered (over 40,000 registrations per annum).
- Scan exam results into the database and ensure issuing of results to individual students.
- Assist in the processing of exam results for all students worldwide for both IATA/UFTAA and IATA/FIATA courses.
- Assist in administrative tasks such as filing, reports, etc.
- Check received application forms for completeness and accuracy of information;
- Assist Exams Team as required.
- Support hotel negotiations and contracts for the region.
- Support room allocation and coffee charges for courses with Administration/Suppliers.
- Process companies’ profiles approval in LMS on a weekly basis supporting other training centers.
- Collect fees on outstanding debt for all assigned courses and follow up with Finance on payment application.
- Follow through to finalization on a minimum of 5 own commercial leads.

- You have a university degree in Business Administration or equivalent.
- Proven organizational skills with the ability to handle multiple projects simultaneously while maintaining high attention to detail; Excellent interpersonal and communication skills; persistent and positive can‑do approach.
- Demonstrated ability to work effectively in an international and multicultural environment.
- Ability to work efficiently and effectively under pressure and meet deadlines.
- Ability to think openly, imaginatively and creatively; must enjoy working in a fast‑paced team environment.
- Excellent English skills (verbal & written).
- Highly computer literate: fully familiar with Word, Excel, PowerPoint.
- Strong sales and customer service orientation.
