Job Title: Temporary Administrative Assistant

Job Description

The Centre for International Law (CIL) invites applications for a Temporary Administrative Assistant position on a six (6) month fixed-term contract. The incumbent will provide financial and administrative support to ensure effective grant management, compliance, and reporting.

Responsibilities
  • Prepare accurate and timely financial reports for grantors in line with reporting requirements and deadlines.
  • Support grant audits by compiling and submitting required financial documentation and evidence to grantors and auditors.
  • Manage day-to-day financial administration, including budget tracking, virements, procurement processes, claims verification, and travel expenditure monitoring.
  • Perform budgets and expenditure reconciliations, investigate variances, and recommend corrective actions.
  • Prepare internal financial reports and management updates, providing data-driven insights to support decision-making.
  • Support financial year-end closing processes by ensuring transactions, reconciliations, and documentation are completed accurately and on schedule.
  • Liaise with auditors to ensure complete, accurate, and compliant financial records are provided.
  • Handle ad-hoc finance-related tasks and provide operational support to maintain smooth Centre functions.
Qualifications
  • Diploma with at least 1 year of financial administration experience; degree is an advantage.
  • Experience in academic, research, or grant-funded environments preferred.
  • Familiar with financial systems and Microsoft Excel.
  • Strong analytical skills with attention to detail.
