About the Role / 职位概述

The Operation Executive provides administrative, coordination, and operational support to both the Sales team and Supply Chain team. The role is suitable for a junior candidate who is organised, detail-oriented, and with strong coordination skills who wants exposure to the biopharmaceutical industry.

Key Responsibilities / 主要职责
A.Sales Operations Support / 销售运营支持
  • ØPrepare quotations, sales orders, and invoices.
    准备报价单、销售订单及发票。
  • ØCoordinate with sales team on inquiries and product availability.
    与销售团队协调咨询及产品可用性。
  • ØMaintain customer records, price lists, and product documentation.
    维护客户资料、价格表及产品文档。
  • ØTrack sales orders from confirmation to delivery.
    跟踪销售订单从确认到交付的整个流程。
  • ØSupport customer service tasks such as responding to inquiries or documentation requests.
    支持客户服务工作,如回复咨询或文档请求。
B.Supply Chain Support / 供应链支持
  • ØAssist in preparing shipping documents, packing lists, COA(Certificate of Analysis)/COO(Certificate of Origin), and import/export forms.
    协助准备运输文件、装箱单、COA分析证书/COO原产地证书及进出口表格。
  • ØCoordinate with freight forwarders, warehouse teams, and suppliers for inbound/outbound shipments.
    与货运代理、仓库团队及供应商协调进出口货物。
  • ØPerform basic data entry into ERP/supply chain systems.
    在ERP/供应链系统中进行基础数据录入。
C.Operation Administrative Tasks / 运营行政类工作
  • ØMaintain files for regulatory documents, shipment records, sales contracts, and SOPs.
    维护法规文件、运输记录、销售合同及SOP档案。
  • ØSupport the preparation of reports such as delivery status, sales tracking, and inventory movement.
    协助准备诸如发货状态、销售跟踪和库存变动等报告。
  • ØAssist in scheduling, logistics arrangement, and internal coordination.
    协助安排计划、物流安排及内部协调工作。
D.Internal Communication / 内部沟通
  • ØWork closely with the China HQ team on product information, shipping schedules, and documentation.
    与中国总部团队密切沟通产品信息、运输计划及文件。
  • ØCollaborate with U.S. and EUassociated companies on cross-border operations when required.

  • ØSupport communication between sales, regulatory, finance, and supply chain teams.

Requirements 任职要求
A.Qualifications / 学历要求
  • Degree / Diploma in Business, Operations, Logistics, or relevant field.
    商科、运营或相关领域的本科或大专学历。
B.Experience / 经验要求
  • Ø1–3years of operation, supply chain or logistics experience.
    1–3年运营、供应链或物流相关工作经验。
  • ØExperience in pharmaceutical, biotech, or healthcare supply chain is a strong advantage.
    在医药、生物技术或医疗行业供应链经验者优先。
  • ØExperience in cross-border operations involving U.S. and Europe is beneficial.
    具备涉及美国和欧洲跨境运营经验者更佳。
  • ØExperience working with or reporting to a China-based parent company is highly advantageous.

  • ØStrong communication skills with ability to liaise with China headquarters (High proficiency in both spoken and written Mandarin).
