We are expanding our services and looking for a dedicated Senior/ Operation Executive to support our growing team and ensure smooth, efficient, and high-standard clinical operations.
The Senior/ Operation Executive plays a crucial role in ensuring smooth daily operations within the TCM and wellness clinic. This position is responsible for maintaining high operational standards, ensuring full compliance with clinic SOPs, coordinating staff, supporting practitioners, and executing directions from management effectively and promptly.
Key Responsibilities
1. Daily Clinic Operations
- Oversee day-to-day clinic operations to ensure smooth patient flow, from registration to consultation and payment.
- Ensure treatment rooms, equipment, and facilities are well-maintained, clean, and prepared.
- Monitor readiness, punctuality, and professionalism of all staff and TCM practitioners.
2. SOP Compliance & Quality Assurance
- Ensure all staff strictly adhere to clinic SOPs, hygiene protocols, and operational procedures.
- Conduct routine checks to confirm compliance with treatment standards and safety requirements.
- Identify non-compliance issues and take immediate corrective action.
3. Execute Management Directives
- Implement operational instructions, new processes, and initiatives from management promptly and accurately.
- Communicate management decisions clearly to staff and ensure proper follow-through.
- Assist management in driving operational improvements and maintaining quality standards.
4. Staff Coordination & Support
- Assist in scheduling front desk staff, therapists, and support staff based on clinic needs.
- Support onboarding and training of new hires, ensuring they understand and follow all SOPs.
- Monitor staff performance, discipline, grooming, and adherence to clinic workflow.
5. Patient Service & Experience
- Ensure patients receive professional, polite, and seamless service throughout their visit.
- Handle escalated patient concerns or feedback with professionalism.
- Maintain a welcoming, comfortable, and safe clinic environment.
6. Reporting & Administration
- Prepare daily/weekly/monthly operational reports for management.
- Document operational issues, staff performance notes, and incident reports.
- Manage administrative processes such as patient records, billing support, and compliance documentation.
7. Compliance & Clinic Safety
- Ensure the clinic operates in line with MOH guidelines, TCM regulations, and workplace safety standards.
- Conduct regular checks on equipment cleanliness, facility conditions, and safety practices.
- Report operational risks promptly and follow up until resolved.
Requirements
- Diploma in Business Administration, Healthcare Management, or related fields.
- Minimum 1–2 years of experience in clinic operations, healthcare, TCM, wellness, or service industries.
- Experience in a TCM or medical clinic environment will be an advantage.
- Strong organisational skills with the ability to enforce SOPs firmly yet professionally.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office and clinic management systems (training provided if needed).
- Willing to work weekends/PHs on a rotational basis depending on clinic needs.
