Job description
  • Manage customer inquiries received through email, fax, phone, letters, or other communication channels.
  • Provide customers with information on product availability, delivery schedules, and delivery locations.
  • Ensure accurate and timely processing of customer orders.
  • Prepare supporting documentation, input orders into the company’s system, and monitor order status.
  • Handle special orders for out-of-stock or non-standard items and coordinate with the supply chain and warehouse teams to update customers upon availability.
  • Maintain correspondence records, manage shipping and delivery documentation, and handle LC negotiations with banks.
  • Prepare sales meeting materials, track sales records, and participate in sales meetings.
  • Collaborate with other departments, such as the technical team, to resolve product or technical inquiries.
  • Coordinate with the accounts department on payments, deposits, refunds, and stock returns; liaise with the supply chain team on PR/PO processing; and work with logistics to confirm delivery dates.
  • Independently manage shipping and customs invoicing, and liaise with forwarders and shipping agents.
  • Prioritize tasks effectively to meet deadlines and adapt quickly to changing priorities.
  • Process and update purchase orders and related records in the system.
  • Validate order confirmations against POs and system entries; notify the supply chain of any discrepancies.
  • Verify supplier invoices against purchase orders and system data.
  • Negotiate shipping rates with appointed forwarders in alignment with company purchasing policies.
  • Coordinate all inbound logistics to ensure cost efficiency and track all consignments effectively.
