Job summary

A leading facade company in Singapore is looking for a Receptionist to manage front desk duties and provide administrative support. Responsibilities include handling calls, managing meetings, and overseeing office supplies. The ideal candidate has a diploma in Business Administration, 2–3 years of experience, and strong communication skills in English and Chinese. Only Singaporeans or PRs may apply.

Key Responsibilities
Receptionist
  • Provide Front Desk Reception duties for the office by managing internal and external stakeholders in a professional and timely manner.
  • Handle incoming calls by answering, screening, forwarding, and taking messages when required.
  • Manage incoming and outgoing mail, courier services, and deliveries.
  • Oversee car management for the scheduling, allocation, and usage of company vehicles.
  • Coordinate internal and external meetings, including scheduling and venue arrangements.
  • Handle procurement of office supplies, equipment, and services in accordance with company policies.
  • Process employee claims for reimbursements (travel, medical, etc.) in a timely and accurate manner.
  • Provide general administrative support, including filing, photocopying, and data entry.
  • Other ad‑hoc or general affairs duties as assigned.
Secretary
  • Manage the Executive’s calendar, including the scheduling of appointments, meetings, and conference calls, as well as the coordination of travel arrangements.
  • Maintain records, process expenses, and handle confidential information with care.
  • Plan and manage itineraries, logistics, and hospitality arrangements for incoming visitors.
  • Perform general administrative tasks and any additional duties as assigned by the executive.
Requirements
  • Diploma in Business Administration or a related field is preferred.
  • Minimum 2–3 years of relevant experience, Fresh graduates with strong internships may also be considered.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Highly organized, proactive, and able to manage competing priorities.
  • Strong written and verbal communication skills in English and Chinese.
