Job summary

A construction sector firm in Singapore seeks an experienced Administrative Officer to oversee various administrative processes, ensure a smooth flow of information, manage document organization, and assist with material orders. The ideal candidate will have experience in the construction sector and possess excellent organizational and multitasking abilities. This role offers a structured work schedule with opportunities for immediate start.

Qualifications

  • Minimum 2-3 years experience in full spectrum of administrative duties.
  • In-depth understanding of office management procedures and policies.
  • Familiarity with financial and facilities management principles.
  • Proficient in MS Office suite.
  • Excellent organizational skills with attention to detail.

Responsibilities

  • Plan and coordinate administrative procedures and streamline processes.
  • Assist in material ordering and ensure adequate information flow.
  • Monitor inventory of office supplies and manage document organization.
  • Attend to inquiries via walk-ins, phone calls, and emails.
  • Coordinate with drivers for delivery arrangements.

Responsibilities
  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes for the group of company
  • Assist in material ordering, matching PO, DO, and Invoice.
  • Experience in Autocount Software
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations
  • Coordinate with Drivers for pick-up & delivery arrangement.
  • Ensure efficient management of documents; printing, scanning, filing.
  • Attend to inquiries; walk-ins, phone calls and emails
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
  • Manage organization\'s certifications (Apply/Renew)
  • In-charge of basic IT support to the staff
  • Company IMS ISO experience
  • Work closely with HR & Accounts Department
  • Planning of company annual event
  • Vehicle Insurance Renewal, Road Tax, and Repair.
  • Handling of Government Grant application such as EDG, PSG, Career Support Programme, Worklife Grant etc.
  • Any other ad hoc duties as assigned
Requirements
  • Minimum 2-3 years Experience in full spectrum of Administrative Duties/ Purchasing preferably in construction sector
  • In-depth understanding of office management procedures and departmental and legal policies
  • Familiarity with financial and facilities management principles
  • Proficient in MS Office
  • An analytical, positive & attentive mind with problem-solving skills
  • Excellent organizational and multitasking abilities
  • Purchasing experience in construction sector is a must.
  • Proven track record of managing and organizing physical documents, including tasks like receiving, sorting, filing, retrieving, and maintaining paper records, often ensuring accuracy and adherence to established filing systems within an organization
  • Preferable for those who can start work immediately
  • 5.5 days work during probation, after probation alternate Saturday
  • 9am to 6pm
