Job Title: Project Coordinator – Building Maintenance & Renovation (Shopping Mall, Commercial & Industrial)

We are seeking a detail‑oriented and proactive Project Coordinator to support a diverse portfolio of building maintenance and renovation works, including term contracts, additions/alterations, retrofits, repairs and redecorations, reinstatement, waterproofing, painting, sealant work, sanitary and plumbing, hacking/concreting for pathways and carparks, and minor electrical repairs. Projects are primarily located in shopping malls and commercial/industrial facilities. The successful candidate will coordinate across multiple trades, ensure safety and quality, and help deliver projects on time and within budget.

Key Responsibilities
  • Assist in planning, scheduling, and coordinating projects across multiple work streams (maintenance, A&A, retrofits, repairs/redecoration, reinstatement, waterproofing, painting, sealants, plumbing, hacking/concreting, and minor electrical works) to meet client requirements and timelines.
  • Support tender preparation, supplier quotation management, material sourcing, and printing/packaging of tender documents when needed.
  • Manage procurement coordination, including issuing POs, tracking delivery, and updating project records in Smartsheet.
  • Apply for and track Permit to Work (PTW), conduct risk assessments, and support site safety compliance.
  • Oversee on‑site coordination with subcontractors and suppliers, attend site meetings, and document progress with photos and reports.
  • Perform quantity take-offs (QS) from drawings for material planning (e.g, lighting, HVAC troffers, raised access floors) and support BOQ inputs.
  • Maintain project documentation, change logs, progress reports, and close‑out support (as‑built docs, warranties).

  • Relevant experience in project coordination for building maintenance, fit‑outs, or renovation projects in malls, commercial, and industrial environments.
  • Familiarity with procurement processes, subcontractor coordination, and basic QS/BOQ understanding.
  • Strong organizational and multitasking skills with meticulous attention to detail.
  • Good communication and stakeholder management abilities.
  • Proficiency in project management tools (Smartsheet, Microsoft Office) and willingness to learn industry‑standard software (e.g., ARIBA if applicable).
  • Safety‑conscious with a basic understanding of PTW processes and risk assessment practices.
  • Diploma or degree in Construction Management, Civil/Mech/Elec Engineering, or a related field is preferred; relevant experience may compensate.
