The main purpose of this role is to provide administrative, clerical, and personal support to Director.
Responsibilities
- Provide comprehensive executive and personal assistance to the Director, including managing calendars, coordinating schedules, meetings, appointments.
- Handle, prioritise, and respond to emails, calls and messages on behalf of the Director, maintaining professional communication at all times.
- Organize and maintain both physical and digital files in a systematic and accessible manner.
- Conduct research and deliver information promptly upon request.
- Prepare a range of documents, including reports, memos, notes, presentations, and other supporting materials.
- Research, plan, and coordinate comprehensive travel arrangements—covering flights, transportation, accommodation, dining, and event bookings.
- Manage highly confidential information and sensitive matters with professionalism, discretion, and sound judgment.
- Coordinate lifestyle-related arrangements, including dining reservations, event planning, entertainment scheduling, and leisure activities.
- Assist with family-related tasks such as school matters, medical appointments, and travel plans.
- Uphold confidentiality and safeguard the employer’s personal and business information.
- Undertake ad hoc tasks or assignments when needed.
Qualifications, Skills and Experience
- Minimum 3 years proven work experience.
- Strong language, business, or hospitality background an advantage.
- Strong organizational skills with the ability to anticipate needs, prioritize tasks, and manage multiple projects.
- Proficiency in MS Office software and other productivity tools for preparing reports, presentations, and documents management.
- High level of integrity, discretion, and commitment to confidentiality.
- Work under pressure and adapt to changing circumstances and workload.
- Possess Class 3 or 3A driving license preferred.
