Job summary

A leading maritime services company in Singapore is seeking a Personal Assistant to provide executive support, manage calendars, and handle correspondence. The successful candidate must be bilingual in English and Mandarin, with proficiency in Microsoft Office and a minimum of 1-2 years of experience in a similar role. Qualifications

  • Report to Executive Directors for all administrative support on Company’s strategic aims and objectives.
  • Manage the calendars and schedules of senior executives, coordinates meetings, appointments and travel.
  • Handle all incoming calls, emails and correspondence, providing excellent customer service to both internal and external stakeholders.
  • Must be able to travel for business trips to effectively provide secretarial and presentation support.
  • Prepare various documents, presentations, business proposal and reports as required for presentations and other documentation proficiently in both written and speaking in English and Mandarin to effectively communicate with Mandarin speaking key stakeholders and markets.
  • The ability to speak and write is crucial for translating and managing business documents related to our operations and partnerships in Mandarin-speaking regions.
  • Provide administrative assistance ensuring all tasks are being planned, scheduled and executed efficiently.
  • Provide support / coordination role for corporate events and meetings as first point of contact for visitors on ordering and serving of drinks and food.
  • Help in project coordination for special assigned projects.
  • Be part of ISO member to participate in ISO matters.
  • Perform other duties as assigned by the management such as claims, payments and other matters.

  • Minimum 1-2 years of experience as Personal Assistant or Executive Secretary, preferably within the Marine industrial or Listed company on Administration functions and secretarial function.
  • Proficient in using Microsoft Office suite, including Word, Excel and PowerPoint with Commercial and Business senses
  • Must be bilingual and proficiency in English and Mandarin for both writing and speaking to manage Mandarin speaking markets.
  • With knowledge/understanding in basic accounting and financial.
  • A keen eye for detail and the ability to work with a high degree of accuracy.
  • Excellent organization and time management skills with the ability to multitask and priorities effectively.
  • Adaptable and flexible with a proactive and solution-oriented approach to work independently and be a resourceful team player within the team.
