Job summary

A private mineral water company in Singapore is seeking a Personal Assistant to the Chairman. The role encompasses managing the Executive's calendar, preparing meeting materials, and coordinating travel arrangements. We are an exciting new brand of Natural Mineral Water with the bottling facility located in Finland. The Company has invested over S$20 Million in the construction of the factory and are currently available in Singapore, China , Macau and are rapidly expanding. This role will be the Personal Assistant to the Chairman of the company.

Responsibilities
Administrative & Scheduling Support
  • Manage and maintain the Executive’s calendar, including scheduling meetings, appointments, and travel itineraries.
  • Prepare meeting points, agendas, briefing notes, and follow-up action items.
  • Organize and prioritize the Executive’s daily tasks, to-do lists, and reminders.
  • Coordinate internal and external meetings, ensuring smooth logistics.
Travel & Event Coordination
  • Arrange domestic and international travel bookings, accommodation, and transportation.
  • Accompany the Executive on business trips or events when required.
  • Ensure all travel documents, schedules, and materials are prepared in advance.
Meeting & Appointment Support
  • Attend meetings and appointments with the Executive during the day, evening, or night.
  • Take minutes, capture key discussion points, and track follow-ups.
  • Represent the Executive professionally in interactions with partners, clients, or vendors.
Operational & Organizational Tasks
  • Maintain proper filing systems (digital and physical).
  • Assist in preparing presentations, reports, and documentation.
  • Handle confidential information with utmost discretion.
  • Support in personal tasks, errands, and ad-hoc responsibilities.
