Job summary

A company in Singapore is seeking a skilled Executive Assistant to provide comprehensive secretarial and administrative support to the Director. The ideal candidate should have at least 5 years of relevant experience, a Diploma or higher, and be proficient in both English and Mandarin. You'll manage the Director's calendar, coordinate meetings, and handle sensitive information with discretion. This role requires strong multitasking and coordination skills, as well as the ability to work independently under pressure.

Job Overview

Control access to the Director through managing diaries, organising meetings and appointments, and acting as the first point of contact, hence allowing the Director to spend maximum time on strategic tasks

Responsibilities
  1. Provide secretarial and administrative support to the Director
  2. Work directly with the Director to support all aspects of his daily work routine, keeping the Director advised of time-sensitive and priority issues, ensuring appropriate follow-up
  3. Maintain the Director’s calendar, including scheduling meetings, appointments, travel arrangements and showroom visits. Exercise discretion in committing time and evaluating needs
  4. Receive, screen and direct incoming enquiries, visitors, mail and email with tact and diplomacy
  5. Prepare supporting documents and presentations for business discussions>
  6. Create and amend templates, draft emails, letters, business presentations for Director
  7. Proofread and review completeness of documentation/information submitted to Director
  8. Responds to external queries, requests and invites on behalf of Director
  9. Processing of expense claims and reports
  10. Handles sensitive information with a high degree of discretion and maintains confidentiality
  11. Handles personal tasks for the Director
  12. Miscellaneous tasks to support the Directors which will vary according to the sector of which the external parties belong to
Requirements
  • Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, any field
  • Minimum 5 years’ experience in secretarial and administrative field, preferably with 3 years’ secretarial support to Senior Management of an organisation
  • Good spoken and written in English and Mandarin to liaise with 中文-speaking counterpart
  • Willing to travel overseas with and on behalf of director when necessary (daily allowance of SGD$100.00 per day)
  • Able to work independently with minimal supervision, and effectively under pressure to meet deadlines
  • Good analytical, coordination, accurate, meticulous, ability to multi-tasking, strong listening, and follow-up skills are mandatory to succeed in this role
