Job Summary
We are seeking a highly organized and proactive Office Admin Cum Project Admin to oversee daily office operations, handling clerical task, coordinating activities, supporting staff and management to maintain an efficient and productive work environment and also to support project management activities.
Additionally, this candidate will provide support to the Marketing department as needed.
Key Responsibilities
Office Admin
- Manage and oversee day-to-day office operations, including office supplies, inventory, equipment, facilities maintenance (placing orders as necessary), and ensuring a well‑organized work environment.
- Prepare for refreshments for guest
- Handle and prioritize correspondence, including emails and phone calls, and prepare memos and documentation as required.
- Support HR functions, including onboarding new employees, organizing training, and maintaining attendance records.
- Perform general administrative and IT‑related tasks, including data entry, filing, and office management.
- Prepare reports, presentations, and other documentation as needed.
- Handle staff claims and reimbursements.
- Ensure compliance with company and organizational policies and procedures.
- Support audits and compliance activities, including ISO audits.
- Assist in planning and coordinating company events and functions.
- Assist in sourcing and purchasing marketing items via online platforms (e.g., Taobao, Shopee).
- Handle ad hoc projects and other tasks as assigned by management, including support across different related entities.
Project Admin
- Prepare, issue, and track purchase orders (POs), ensuring the PO tracking list is accurately maintained for audit and reporting purposes.
- Schedule and prepare meetings, including meeting materials, arrange equipment and, and record meeting minutes.
- Coordinate and support project activities, documentation, and record maintenance.
- Act as a key point of contact and liaise with internal teams, vendors, service providers, and clients to facilitate effective communication.
Qualifications & Skills
- Diploma or Bachelor's degree in Business Administration, Management, or related field preferred
- Proven experience as an Office Administrator, Project Coordinator, or similar role
- Excellent organizational and time management skills
- Good communication and interpersonal skills
- Proficiency in MS Office suite and office management tools.
- Ability to work independently and as part of a team
- Attention to detail and problem‑solving skills
- Ability to multitask and prioritize effectively.
