Job summary

Job description

This is the Singapore office of a large Japanese trading company. They work across many different business areas from food and consumer products to machinery, energy and chemicals. The Singapore team mainly supports these businesses by handling key corporate functions and ensuring smooth day-to-day operations.

They are hiring a HR Officer to support HR operations with a strong focus on payroll and HRIS administration across three entities (about 200 headcount). The role involves managing monthly payroll inputs, CPF submissions, maintaining employee records, handling surveys, and assisting with payroll reporting. You will also manage HRIS updates and system improvements, as well as HR admin tasks such as travel coordination, invoice processing, and updating attendance/leave/housing data.

Job Description
Payroll Process Management for 3 entities
  • Complete employee data input timely and accurately
  • Submit monthly CPF report
  • Maintain employment records and prepare related documents
  • Handle HR related government and third parties’ survey
  • Assist payroll Executive to complete data input timely and accurately, maintain accurate and up-to-date employee payroll records
  • Assist payroll Executive to generate payroll report
HRIS operation
  • Update employee database system
  • Analyze existing system function
  • Generate system modification requirement
  • Assist to identify HRIS’s requirement and summarize specifications
  • Assist in HRIS improvement
HR Admin
  • Proceed application and update payroll related data in HRIS (Attendance, Leave, RS fringe, Housing etc)
  • Assist in Travel Management
  • Process invoices payments from vendors and internal cost allocation
Ideal Candidate Profile
  • Minimum Diploma/Degree holder in HR or related
  • Around 3 - 5 years’ experience in HR Operations especially payroll function
  • Knowledge in HRIS system
  • Strong knowledge of payroll computations, MOM and CPF legislation
  • JLPT N4 preference, but not a must
  • Communicate with Japanese expatriates, especially some who may not comprehend English fully by being patient, communicate in writing if the subject is complicated and converse in slower pace in English.
  • Effective communication (both written and oral) and interpersonal abilities
  • The ability to work effectively both independently and as part of a team
  • A high degree of diligence and accuracy in accomplishing tasks, with a strong focus on thoroughness in all areas of work.
