Director Personal Assistant (Remote, Flexible Hours)
I am seeking a trustworthy, detail-oriented, and highly organized Personal Assistant to provide comprehensive administrative and operational support across personal and professional matters. This role is remote-based and offers flexible working hours, with the primary objective of ensuring seamless management of daily tasks, business operations, and personal arrangements.
The successful candidate will play a pivotal role in supporting a Singaporean Director in maintaining structure, handling sensitive information with discretion, and supporting the smooth running of two Singapore businesses alongside personal commitments.
Responsibilities
- Administrative & Data Management: Perform accurate data entry and maintain organized records, spreadsheets, and databases.
- Administrative & Data Management: Draft, review, and manage correspondence, reports, and documentation.
- Administrative & Data Management: Organize MD (Managing Director) notes and translate them into clear action items and daily to-do lists.
- Accounting & Finance Support: Assist with bookkeeping, accounting inputs, and expense tracking.
- Accounting & Finance Support: Prepare and input invoices, reconcile expenses, and coordinate with external accountants.
- Accounting & Finance Support: Ensure timely and accurate financial documentation.
- Business Support: Provide administrative assistance across two businesses, including scheduling and calendar management.
- Business Support: Organize meetings, calls, and project follow-ups, ensuring deadlines are met.
- Business Support: Support business-related logistics, communications, and stakeholder coordination.
- Personal Support & Lifestyle Management: Arrange personal appointments, reservations, and travel plans.
- Personal Support & Lifestyle Management: Manage personal errands and logistics while balancing business demands.
- Personal Support & Lifestyle Management: Act as the first point of contact for personal and professional coordination.
- General Support: Maintain confidentiality in handling sensitive personal and business information.
- General Support: Proactively anticipate needs and recommend solutions to optimize workflows.
- General Support: Perform ad hoc tasks and projects as required.
Qualifications & Requirements
- Proven experience as a Personal Assistant, Executive Assistant, or Administrative Support professional.
- Strong proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Slides, etc.).
- Knowledge of basic accounting/bookkeeping principles.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication abilities.
- High level of professionalism, reliability, and discretion.
- Ability to work independently in a remote environment while remaining responsive and adaptable.
Preferred Attributes
- Experience supporting entrepreneurs or senior executives with multiple business interests.
- Familiarity with fitness, lifestyle, or luxury automotive industries (advantageous but not mandatory).
- Strong problem-solving mindset and ability to work with minimal supervision.
