Job description

Our client is seeking a meticulous and organized Facilities Admin Executive to support their facilities team. This role is ideal for a dedicated professional who enjoys a structured environment and possesses the coordination skills necessary to keep a site office running smoothly.

Core Responsibilities

Reporting directly to the Facilities Manager, your key duties will include:

  • Assist the site team in collating and consolidating monthly service and maintenance reports to ensure accuracy and timely submission.

  • Manage day-to-day administrative tasks, including proper filing, scanning of documentation, and other duties as assigned.

  • Support Facilities Manager in daily operations

  • Manage preventive/corrective maintenance and track work orders

  • Handle purchase requests, quotations, and invoice processing

  • Maintain maintenance logs, contracts, equipment, and asset records

  • Coordinate with building management and service providers

  • Attend meetings and take accurate minutes to record key decisions and action items.

  • Act as a central point of contact for administrative matters within the facilities team to ensure seamless operations.

Job Requirements
  • NITEC or Diploma in Office Skills, Business Administration, or a related field.

  • Minimum 3 years of relevant working experience.

    • Previous experience supporting a Facilities Management team is a strong advantage.

  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).

  • Meticulous and highly organized with a keen eye for detail.

  • A collaborative team player with strong communication and interpersonal skills.

  • Capable of managing various stakeholders effectively.

Employment Details
  • 2-year contract (renewable) with full benefits.

  • 5-day work week (Monday – Friday, 8:30 AM – 6:00 PM).

  • Located in the Northeast at Pulau Ubin.

    • Note: Candidates must be comfortable taking a 7-minute ferry ride to the work location from Punggol Point Jetty.
