About the Role
We are a newly established company seeking an experienced, proactive Executive Assistant & Office Administrator to support senior management and ensure smooth office operations. This role requires a multi‑tasker with strong coordination skills, as well as the ability to handle diverse responsibilities efficiently and independently, with a high level of professionalism.
Key Responsibilities
- Executive Support
- Provide administrative and coordination support to the management
- Assist with ad‑hoc tasks, assignments, and special projects
- Manage calendars, meetings, schedules, and reminders
- Prepare basic documents, reports, and presentations when required
- Coordinate with internal teams and external stakeholders
- Support designated stakeholders on professional matters as assigned
- Handle sensitive information with strict confidentiality
- Maintain professional conduct in all internal and external interactions
- Client Entertainment & Coordination
- Assist management in coordinating client meetings, business entertainment, and hospitality arrangements.
- Support the organisation of company events, internal team activities.
- Coordinate logistics, reservations, and follow‑ups
- Liaise with vendors, service providers, and partners
- Support hosting of visiting clients and business partners
- Office Administration
- Handle daily office administrative operations
- Manage office supplies, facilities, pantry items, and general office coordination
- Coordinate with building management and external service providers
- Provide basic IT support, such as new staff onboarding setup, software installation, and troubleshooting minor technical issues.
- Maintain proper filing and administrative documentation (physical and digital)
Requirements
- Diploma or degree in Business Administration, Management, or related fields.
- Minimum 3 years of relevant experience in office administration, or executive support roles (start‑up experience is a plus).
- Strong multi‑tasking skills with the ability to prioritise and work independently.
- Adaptable, positive thinker with a can‑do attitude.
- Basic IT knowledge and proficiency in office software / tools.
- Excellent command of both English and Chinese (written and spoken).
- Strong interpersonal skills, positive working attitude, and high professionalism.
- Well‑organised, detail‑oriented, and able to work in a fast‑paced environment.
- Possessing a valid Class 3 driving licence will be an advantage.
