Job summary

PERSOL OUTSOURCING SINGAPORE PTE. LTD. is seeking an energetic Event Management Executive to coordinate end-to-end event logistics, liaise with internal and external stakeholders, and manage AV setups and supplier relationships.

The role involves managing RSVPs, venue bookings, and procurement for catering, gifts, and live stations. You will contribute to post-event reviews and ensure smooth on-site execution.

Qualifications

• Diploma required or equivalent; 2+ years of relevant experience is a plus.
• Meticulous with details, strong communication and interpersonal skills.
• Able to work in a fast-paced, challenging environment.

Responsibilities

• Be the main point of contact for event requests.
• Sit in for pre-event discussions with internal stakeholders.
• Source, shortlist and recommend suppliers/vendors within budget.
• Support event procurement (catering, gifts, live stations).
• Prepare approvals and ensure sign-offs before purchases.
• Proficient in Canva for EDMs.
• Coordinate venue bookings and stakeholders’ calendars.
• Plan programs and secure necessary approvals.
• Manage RSVP via FormSG and post-event feedback.
• Handle approvals for clearances, catering and visitors as needed.
• Assist in VIP food purchasing.
• Manage event logistics queries by email.
• Prepare daily event forecasts for relevant departments.
• Support on-site operations during events.
• Liaise with AV team for AV setup.
• Schedule maintenance of meeting room equipment.
• Train stakeholders on AV usage.
• Quality checks on digitized records vs paper copies.
• Move physical files between offices.
• Provide event management support including printing materials and setup.
• Assist visitors/contractor clearance as needed.
• Handle any ad hoc duties.
