Job summary

A facility management company in Singapore is looking for an administrative professional to ensure customer service excellence and coordinate maintenance activities. The role requires a minimum of A Level or Diploma with 3 years of administrative experience, proficiency in MS Office, and good communication skills. Responsibilities include monitoring contracts, preparing reports, and liaising with technicians to ensure efficient operations. This position requires commitment to a 5.5 days work week and the ability to work independently under pressure.

  • Customer service excellence

  • Responsible for call request, call handling and coordination’s works

  • Monitor contracts KPI

  • Monitor all systems and escalate to respective team in BASCO control room

  • Key in and generate break down work order reports and generate BFR report

  • Coordinate with Team in Charge and technicians for job assignments

  • Provide assistant and follow up with technicians for work closure

  • Assist in preparing Permit to Work (PTW) and/or Work clearance form (CTW) for verification and approval

  • Prepare and submit monthly facilities maintenance/repair report/FRC monthly breakdown reports

  • Prepare and submit completed/pending work order reports for managements review

  • Liaison with customer on all maintenance program ensuring minimum disruption to their operations matters

  • Feedback and follow up with user regarding break down status

  • Attend specialist contractors to site for work if required

  • Responsible for update and feedback to customers or end user

  • Assist in FRC key managements

  • File all documentation & records

  • To maintain good housekeeping in FRC department and support and cover duty for FRC Technical Officer/Engineers

  • Provide Cover Duty for Admin officer for all Finance and Staff matters if required

  • Any other tasks, when required by FRC Engineer/ Facility Manager

Job Requirements
  • A Level or Diploma with 3 years administrative experience

  • Proficient in MS Office Suites

  • Familiarity with hospital setting and/or operation support role is preferred

  • Good communication and organized

  • Pro-active, independent, able to work with minimal supervision and perform under pressure

  • Ability to work independently with minimum supervision

  • Able to commit to 5.5 days' work week, office hours
