Job Summary
The Contracts Executive manages pre- and post-contract processes to ensure successful project delivery, supporting sales and bidding teams while maintaining compliance and fostering strong supplier and client relationships.
Responsibilities
- Build and sustain productive relationships with suppliers and customers to support contract execution and business growth
- Research, gather, and present contract-related information to clients and stakeholders to facilitate informed decision-making
- Monitor government portals such as GeBIZ, Zycus, Tender Board, and Pegaxis daily to identify relevant contract opportunities
- Prepare and manage budgets to ensure construction project completion and production remain within financial targets
- Collaborate with the Contracts Director to drive sales results and support business objectives
- Track and evaluate new job appointments from the tele sales marketing team to prioritize contract actions
- Generate contract reports aligned with Head of Department requirements to support management oversight
- Coordinate with sales representatives daily to follow up on pending job quotations and ensure timely responses
- Maintain organized quotation records, ISO filing, and prepare documentation for quarterly contract files and internal and ISO audits
- Participate actively in management-arranged meetings to align contract activities with organizational goals
- Attend tender site show rounds and meetings as required to support contract negotiations and project understanding
- Provide comprehensive support to the bidding team to ensure tender bids are complete and submitted on time
- Contribute to continuous improvement and development initiatives within the business area
- Execute additional duties assigned by the Department Head or upper management to support operational needs
Preferred competencies and qualifications
- Minimum of 2 years’ experience in a Contracts management, preferably within construction or maintenance sectors
- Good knowledge in Quantity Surveying and Contracts Administration
- Knowledge of building façade and façade systems to enhance contract management effectiveness
- Diploma/Bachelor’s Degree in Science, QS, Civil, Building or Engineering or equivalent qualification demonstrating foundational knowledge relevant to the role
- In-dept knowledge concerning cost engineering, planning, project cost control.
- Ability to manage multiple contracts simultaneously while ensuring compliance with Singaporean laws and regulations
- Strong negotiation skills applied to resolve contract issues and optimize outcomes
- Effective problem-solving skills to address challenges throughout contract lifecycles
- Excellent written and spoken communication skills to facilitate clear and professional interactions
- Strong interpersonal skills to collaborate effectively with internal teams and external partners
Other Information
- Work schedule: 5 days per week
- Working hours: 08:30 to 18:30 (Monday to Thursday), 08:30 to 17:30 (Friday)
- Salary range: S$2,500 - S$4,000 (based on experience)
- Location: Kaki Bukit (Head Office)
