Job Summary
This is a 6 months maternity cover contract role for a Client Service Officer that will provide administrative and client service support in a laboratory‑based environment.
We are looking for someone who is comfortable with a 4 weekdays and 1 Saturday work arrangement.
Roles and Responsibilities
- Serve as the primary point of communication between the company and clients throughout the entire client lifecycle, from onboarding to post‑service support.
- Contribute to a positive client experience and foster long‑term relationships, proactively seeking feedback for service improvements.
- Ensure compliance with company policies, healthcare regulations, service standards, and requirements.
- Safeguard patient confidentiality and privacy in accordance with PDPA requirements.
- Manage first‑level inquiries, primarily through hotline calls, emails, and webchat. Respond promptly and professionally to client inquiries.
- Understand client needs and provide accurate, timely, and satisfactory resolutions to their questions and concerns.
- Liaise and coordinate with internal departments to ensure smooth communication and efficient service delivery.
- Arrange and coordinate with local and overseas courier service providers to ensure timely and secure transport of clinical specimens.
- Coordinate and ensure new client account is created accurately.
- Clarify and notify clients of matters as required by the company, including sample discrepancies, incomplete orders, pending submissions, rejections, cancellations, and appeals.
- Assist with the delivery of clinical results in accordance with laboratory protocols and privacy regulations.
- Address and resolve client complaints or concerns promptly and professionally, aiming for first‑contact resolution. Escalate complex issues to relevant departments or management as needed.
- Supports operational logistics for clinical projects conducted at off‑site collection points.
- Accurately update and maintain patient and client information in the company’s database.
- Perform general administrative duties related to Client Service.
Desired Skills and Competencies
- Minimum Diploma in Life sciences or equivalent
- Prior experience in healthcare, life sciences, client service, or administration, preferably in a laboratory environment.
- Excellent verbal and written communication skills in English.
- Proficiency in MS Office and comfortable using digital tools for client management.
- Excellent communication and interpersonal skills with an empathetic, professional approach.
- Strong problem‑solving abilities with a proactive mindset.
- Detail‑oriented, meticulous, and systematic in administrative and client service tasks.
- Strong organizational and time management skills; able to multitask efficiently in a fast‑paced environment.
- Ability to work independently while collaborating effectively with a team.
