What will I be doing?
  • Answer the telephone according to the Conrad standards and act as a liaison between callers and the catering team members.
  • Usage of computers to type in a proficient manner to ensure quality and timely product.
  • Utilizing the Salesforce Delphi system to create inquiries and bookings for events and function spaces.
  • Reading and understand the function diary and bookings.
  • Prepare with accuracy the daily tasks; not limited to the signage postings, menus, tent cards, place cards and all other items related to events.
  • Copy or mail any documents, files, proposals as needed.
  • Proofread all correspondence prior to submission for signature.
  • Maintain all catering files in accordance with established procedures and standards.
  • Maintenance of office equipment and suppliers.
  • Monitor and maintain minimum par stock of stationary, event supplies and sales collateral.
  • Requisite suppliers and collateral through the purchasing system and put said items in their proper place.
  • Assist in the preparation / distribution of reports as required by the Director of Catering.
  • Book internal meetings and follow through with proper booking procedures.
  • Maintain a friendly, caring and helpful attitude with clients, as well as Hotel Team Members.
  • Respond properly in any Hotel emergency or safety situation.
  • Perform other tasks or projects as assigned by Hotel management and staff.
  • Act as the liaison between the Sales, Catering / Banquets, Reservations team members.
  • Assist in the preparation of Proposals, Letter of Agreements, Banquet Event Orders, Floor Plans when required.
  • Monitor administration needs of each event with advance preparation.
  • Provide feedback in a timely, professional and constructive manner.
  • Ready to support any operational crunch within the Hotel, off-site events or Hotel run events.
  • Ready to support community initiatives by the Hotel as our contribution to society.
