Overview

We are looking for a highly organised and proactive Senior Secretary / Secretary who will serve as the Director’s first point of contact and ensure smooth coordination of all activities under the Director’s purview. Key responsibilities include:

Responsibilities
  • Keeping abreast of the work streams and priorities of the Director.
  • Organising meetings, including coordinating attendees’ schedules, booking venues, setting up systems, preparing materials, and providing the Director with a quick recap of the meeting purpose.
  • Managing the Director’s calendar effectively to prioritise meetings, calls, and deadlines.
  • Taking accurate minutes and notes during meetings.
  • Tracking projects and assignments to ensure timelines are met.
  • Collating and understanding workplans and budgets submitted by individual departments.
  • Maintaining a well-structured filing system for easy retrieval of documents.
Qualifications
  • Min Diploma in Business Studies (Administration / Secretarial) or equivalent.
  • At least 3 years of secretarial experience supporting senior leaders.
  • Strong team player with initiative, agility, and perseverance to foster a culture of performance and engagement.
  • Excellent written and oral communication skills, with the ability to build effective relationships across all levels of the organisation.
  • Highly organised, meticulous, and detail-oriented.
  • Proficient in Microsoft Office applications and adept at managing calendars and scheduling tools.
