Job Summary:
The Assistant Shipping Manager will oversee the day-to-day operations of the Shipping Department, ensuring timely and accurate coordination of all import and export shipments.
Key Responsibilities:
Department Oversight
- Ensure the Shipping Department remains fully operational and efficient for both import and export activities.
Shipment Coordination
- Monitor and manage shipment schedules to ensure timely delivery and compliance with requirements.
Invoice Verification
- Review freight invoices to confirm charges align with pre-approved quotations before shipment activation.
Manage Documentation
- Commercial Invoice: Accurate seller/buyer details, product description, HS codes, unit prices, incoterms, currency, and payment terms.
- Packing List: SKU‑level details, carton/pallet counts, net/gross weights, dimensions, lot/batch numbers.
- Purchase Orders / Sales Orders: Cross‑check against invoice/packing list for quantity, price, and product codes.
- Contracts/Incoterms: Ensure obligations for carriage, risk transfer, insurance match operational plans.
Certificates & Product Compliance (F&B specific)
- Health/Sanitary Certificates (from origin authority).
- Phytosanitary Certificates (for plant-based items).
- Certificates of Analysis (CoA), Ingredient lists, Allergen declarations.
Communication Management
- Respond promptly to inquiries and updates from management and internal stakeholders.
- Handle email correspondence and provide timely updates on shipment status.
Government Agency Correspondence
- Communicate and liaise with relevant authorities such as Singapore Food Agency (SFA), NPARKS, and Singapore Customs to ensure compliance with regulatory requirements.
Regulatory Compliance
- SFA Quarantine Inspection.
- Ensure adherence to Singapore Customs regulations.
- Prepare and process import/export permits via the TradeNet platform.
Quotation Management
- Request freight quotations, perform cost comparisons, and recommend the most competitive options.
Reporting & Analysis
- Maintain accurate records of shipments, costs, and performance metrics for management review.
Requirements:
- Passed the Singapore Customs Competency Test as a Declarant Agent.
- Proven experience in import/export permit processing via TradeNet.
- Strong knowledge of shipping documentation and compliance requirements.
- Proficiency in Microsoft Office Suite.
- Excellent organizational and communication skills.
- Ability to work independently and handle multiple priorities under tight deadlines.
- Detail-oriented with strong analytical skills for cost comparison and invoice verification
- Proactive problem-solver with a customer-focused mindset.
