Overview

Partnering with a prestigious and well-established group to recruit for an Assistant Manager to join their team, reporting directly to the Legal Counsel.

This role is perfect for a seasoned legal support or corporate secretarial professional who enjoys a hybrid role and is looking for a stable, long-term opportunity with an excellent work-life balance.

The Role

You will be responsible for providing comprehensive legal administrative and corporate secretarial support, ensuring compliance and smooth operational flow for the Group's entities.

The Role:

Key Responsibilities
Corporate Secretarial
  • Handle all corporate secretarial matters for Group entities, including statutory filings and maintaining all statutory registers and records.
  • Draft board and shareholder resolutions for compliance and operational purposes.
  • End-to-end preparation and organization of board/committee meetings, AGMs, and EGMs (meeting packs, agendas, minutes).
  • Compute and coordinate payments for shareholder dividends and director/committee fees.
  • Manage corporate secretarial matters related to the external directorships and the Group's investments.
  • Assist in KYC-related tasks and the onboarding process.
Legal Support
  • Assist in drafting, reviewing, and negotiating contracts and agreements.
  • Coordinate the execution of contracts and manage the review, approval, and payment processes for service providers.
  • Maintain and manage all legal documentation and records, tracking contract tenures, renewals, and terminations.
General & Administrative
  • Manage and maintain the Legal & Corporate Secretarial policies and procedures in the shared repository.
  • Organize department meetings, take minutes, and track follow-up action plans and timelines.
  • Provide other general administrative support as required.
Who We Are Looking For
  • A Polytechnic or University graduate. A degree in Business Law or Legal Studies is a strong advantage.
  • Holding or currently pursuing corporate secretarial certificates would be advantageous.
  • Proven experience as a Legal Secretary, Paralegal, or Legal Administrative Assistant within a law firm, corporate secretarial services firm, or an in-house legal department.
  • A proactive problem-solver, able to work independently and collaboratively.
  • Impeccable attention to detail, with the ability to multi-task and see tasks through to completion.
  • Advanced skills in MS Office and video conferencing tools (Zoom, Teams).
