Job summary

A leading organization in Singapore is seeking an experienced administrative support professional. This role involves various administrative tasks including finance document management and safety documentation. The ideal candidate will have at least 1 year of experience in relevant fields, familiar with Microsoft Office, and possess good time management skills. This position is located in the Changi area with transport provided for Singaporean citizens only.

Qualifications

  • At least 1 year of experience in administrative works.
  • Strong conversance in Microsoft Office suite.
  • Experience in procurement processes is beneficial.

Responsibilities

  • Manage all administrative tasks including monthly reports.
  • Track and submit finance/procurement documents timely.
  • Renew and track safety documentation validity.

Job Responsibilities
  1. Administrative . Responsible for all administrative tasks, such as compiling monthly reports, monthly timesheets, refreshments for project and welfare activities, and escorting customers or vendors within work premises for the Division / O&S Team.
  2. Finance . Responsible for tracking, drafting and timely submission of finance/procurement documents such as Certificate of Completion (COC), Request For Billing (RFB), Purchase Request (PR), Purchase Order (PO), and ensuring Goods Receipt (GR) upon receipt of delivery of goods and services.
  3. Safety Documentations . Track validity of safety documentation such as HIRA, EAI, courses and PPEs, and coordinate for renewal and purchases for the O&S Team.
  4. Security Documentations . Track the validity of personnel and project security clearance of the O&S Team and ensure timely renewal.
  5. Stocktaking . Track stocktaking requirements for the O&S projects and ensure timely execution of stocktake.
  6. Perform any other ad-hoc tasks assigned by the Division Manager / O&S Manager.
Job Requirements
  • At least 1 year of experience in administrative, finance and procurement works.
  • Conversant in Microsoft Word, Excel, PowerPoint and Outlook.
  • Good to have SAP and procurement knowledge and experience.
  • Meticulous and good time management.
  • 5 day week at Changi area ( Morning pick up at Simei MRT, Evening Drop off at Taman Merah MRT)
  • Strictly Singaporean born only.
