Job description

Ho & Wee LLP, a boutique law firm, is looking for a dependable and well-organised Administrative Executive to provide essential support in daily office administration, HR coordination, and provide secretarial duties to our lawyers. This is a support role that works closely with lawyers and the management team to ensure smooth office operations.

Office Administration & Secretarial Support

  • Provide general administrative support, including answering phone calls, managing mail and couriers, ordering office supplies, and maintaining office tidiness.
  • Assist with scheduling meetings, managing calendars, and coordinating appointments.
  • Support lawyers with basic secretarial tasks, including formatting legal documents, printing, scanning, and filing.
  • Manage and source for third-party vendors
  • Liaise with external vendors (e.g., IT, courier, insurance agents).

HR & Recruitment Support

  • Assist with posting job advertisements and coordinating interviews.
  • Support work pass applications, renewals, and cancellations.
  • Maintain and update employee records in a confidential manner.
  • Provide administrative assistance for onboarding and offboarding processes.

Marketing & Website Support

  • Assist with updating the firm’s website and digital platforms.
  • Coordinate with vendors or service providers for marketing or design matters.
  • Ensure materials and content are consistent with the firm’s branding.

Requirements

  • Diploma or equivalent qualification in Business Administration or related field.
  • 2–3 years of relevant experience in administrative or secretarial roles.
  • Good working knowledge of Microsoft Office (Word, Excel, Outlook).
  • Familiarity with HR processes and MOM regulations preferred.
  • Good communication and interpersonal skills.
  • A team player with a positive working attitude and attention to detail.
  • Proficiency in Mandarin is an advantage due to dealings with Mandarin-speaking clients.
