About Us
We are seeking an experienced Administrative Assistant with prior experience in an employment/recruitment agency to join our dynamic team and support our day-to-day operations.
Key Responsibilities
- Provide administrative support to recruiters and management, ensuring smooth daily operations.
- Handle incoming calls, emails, and candidate/client inquiries in a professional and timely manner.
- Maintain and update candidate databases, job postings, and applicant tracking systems (ATS).
- Assist with candidate onboarding, including collecting documentation, preparing contracts, and compliance checks.
- Schedule interviews, client meetings, and assessments.
- Prepare reports, correspondence, and other documents as needed.
- Ensure compliance with data protection and agency regulations.
- Support billing, invoicing, and timesheet management for temporary staff.
- Perform general office administration duties, including filing, scanning, and maintaining records.
Requirements
- Proven experience as an Administrative Assistant in an employment/recruitment agency (essential).
- Strong knowledge of recruitment processes, employment contracts, and onboarding procedures.
- Proficiency in MS Office (Word, Excel, Outlook) and familiarity with ATS/CRM systems.
- Excellent organizational skills with strong attention to detail.
- Strong verbal and written communication skills.
- Ability to multitask and work under tight deadlines.
- High level of professionalism, confidentiality, and customer service.
Preferred Skills
- Experience with compliance checks (right-to-work, reference checks, etc.).
- Familiarity with payroll support and invoicing.
- Knowledge of employment laws and agency regulations.
