Job description

We are a well-established company specializing in project sales of Lighting fixtures & LED lightings & components. Due to our expansion, we are looking for an admin support to assist in ensuring the efficient day-to-day operation of our office across departments by performing a wide range of clerical and organizational tasks. Key Responsibilities
  • Office Operations: Filing, scanning, data entry, inventory management, preparing documents, and maintaining organized records of projects/sales orders and purchase orders.
  • Communication & Co-ordination: Answering calls and handling internal/external correspondence, such as receiving of goods from courier/forwarders.
  • Support Functions: Assisting accounts & finance with invoicing & paperwork; Assisting project/sales team with document creation/consolidation and submission (eg, product specifications, certificates, etc); Creating project and product order summaries; Verifying SAP system product against physical product information.
Essential Skills
  • Planning, Organization & Time Management: Juggling multiple tasks efficiently.
  • Communication: Clear verbal and written skills (English & Mandarin. Japanese, will be a bonus)
  • Computer Proficiency: Familiarity with office software (Microsoft Office-Excel, words, power point) & SAP system.
  • Adaptability: Able to think out of the box to resolve issues and handle dynamic, ever-changing daily tasks.
  • Attention to Detail: Ensuring accuracy in data and documents even when time is critical and everything seems just as important.
Requirements
  • Min. “O/N-levels” with at least 2 years working experience in sales support, admin or customer-service.
  • Relevant working experience in construction, project management, events, or hospitality is highly desirable. Your background in these industries will enable you to make a seamless transition and contribute effectively to our team.
