Role Purpose
The Logistics Officer in Admin plays a key role in supporting administrative tasks and documentation management within the logistics and warehouse operations at DPIS. This role ensures that all administrative functions are carried out efficiently, including document management, reporting, and customer coordination, to support the seamless flow of logistics operations.
Key Responsibilities
Administrative Support
- Document Management: Manage logistics-related documentation, including shipping documents, inventory records, purchase orders, and material requisitions. Ensure proper filing and easy retrieval of documents.
- Filing Systems: Organize and maintain physical and digital filing systems for logistics and warehouse operations, ensuring records are properly categorized and updated.
- Inventory Records: Assist in maintaining accurate inventory records, ensuring that all stock movements are documented and tracked.
- Data Entry: Input data into warehouse management systems (WMS) and other related systems, ensuring accuracy and timeliness of updates.
Customer Support
- Shipment Coordination: Assist in coordinating shipments and providing customers with regular updates on the status of their deliveries.
- Customer Inquiries: Address and resolve customer inquiries related to shipments, inventory status, and other logistics matters.
- Vendor Coordination: Support the communication with external vendors and service providers to ensure timely and accurate delivery of goods.
Reporting & Documentation
- Reporting: Assist with the preparation of logistics and warehouse reports, including daily stock movements, shipments, and operational performance.
- Documentation Preparation: Prepare and maintain necessary documentation for logistics operations, including invoices, delivery notes, and shipment tracking forms.
- Compliance Records: Ensure that all documents related to compliance, safety, and operational standards are accurately maintained and accessible.
Warehouse Administration Support
- Inventory Management Assistance: Assist in managing inventory control, supporting the warehouse team in monitoring stock levels and maintaining accurate records of goods received and dispatched.
- Stock Movement Documentation: Assist in preparing documentation for stock movements, ensuring that all materials are properly documented when entering or leaving the warehouse.
- Warehouse Equipment: Assist with warehouse equipment and supply management, ensuring that proper records are kept for tools, materials, and equipment used in warehouse operations.
Team Collaboration & Communication
- Collaboration with Warehouse Team: Work closely with warehouse staff and other departments (e.g., Operations, Logistics, Procurement) to ensure smooth material flow and timely deliveries.
- Internal Communication: Coordinate with internal teams, clients, and vendors to ensure that all administrative aspects of logistics operations are aligned and carried out efficiently.
- Customer & Vendor Communication: Provide timely communication to both customers and vendors regarding any updates, issues, or changes to logistics schedules.
Requirements
- O-Level or Equivalent
- Additional qualifications in Logistics, Business Administration, or Supply Chain Management are a plus.
- 1–3 years of experience in logistics or office administration.
- Prior experience working in a warehouse environment or logistics operations is preferred.
- Familiarity with inventory management systems (e.g., WMS, SAP) and office software (Microsoft Excel, Word, etc.).
- Organizational Skills: Strong organizational skills to manage multiple tasks, documentation, and filing systems effectively.
- Attention to Detail: High attention to detail, particularly when it comes to inventory management and documentation.
- Communication Skills: Strong communication skills, both written and verbal, to liaise with internal teams, customers, and vendors.
- Customer Service Skills: Ability to assist customers effectively and maintain good relationships with clients and vendors.
- Problem-Solving: Strong problem-solving abilities to address issues related to inventory, documentation, and customer inquiries.
